The official service vendor providing shipping services for FRI is The Expo Group. Please refer to the Exhibitor Service Manual for full shipping details.

How, Where, and When Do I Ship My Materials?

  • Shipments accepted between July 24 - August 7, 2023.
  • Shipments received after August 7 are subject to a surcharge.

  • Shipments MAY arrive beginning August 13, 2023.
  • DO NOT deliver prior to August 13, 2023.

  • All items/materials brought into the facility may be subject to Material Handling charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Official Show Vendors.
  • All freight will be offloaded via pallet jack. Please contact The Expo Group if you require a fork lift to unload your vehicle.

  • July 24, 2023 - Advance Shipments may begin arriving at Warehouse 
  • August 7, 2023 - Last day Advance Shipments may arrive at warehouse w/o surcharge 
  • August 13, 2023 - Shipments may begin arriving on-site

Material handling (drayage) is the service of receiving freight at either the advance warehouse or show site. This service includes the following:  

  • Acceptance of freight shipped to the advance warehouse.
  • Storage of up to 30 days prior to move-in  
  • Delivery of freight to show site OR acceptance of freight delivered directly to show site  
  • Delivery of freight from dock to booth  
  • Pick up and storage of “empty” crates/boxes for duration of show  
  • Delivery of “empties” from storage back to booth for move-out  
  • Freight transferred from booth to dock for return shipment  
  • Loading of crates/boxes onto outgoing carrier

Will you be bringing your booth materials in a POV (Privately Owned Vehicle)?

All POVs will:

  • Check-in at the POV Staging Lot.*REQUIRED
    • Location: Parking lot at Central St. and 16th St.
    • This is the SE corner of the Kansas City Convention Center.

  • Have approximately 30 minutes to unload. 
  • Be required to leave your keys 
  • Not leave your vehicle unattended - requires at least 2 people:
    • 1 delivering items to booth
    • 1 moving the vehicle after it's unloaded
  • Not be able to access the docks or gates at move-out until after the apparatus have left the building.

Added Service - POV Freight Service

  • 1 – Freight laborer
  • 1 – Cart (for less than 250 lbs total/one-way)
  • 1 – One-way trip
  • 1 cartload allowed per booth
  • $150 / trip

What Vehicles Qualify/Do Not Qualify

 

General Notes

  • To facilitate an orderly and timely move-out, it is imperative that all aisles remain clear of exhibit material so that empty containers can be returned. All freight free aisles must be kept clear during move-out. 
  • Any exhibitor requiring forklifts, display labor, or other special handling of exhibit material should make arrangements at the Service Center BEFORE the close of the show. 

Apparatus/Vehicle Displays

  • The vehicles/apparatus will leave first, then The Expo Group will remove the aisle carpet. After that the freight doors will then open for empty containers to be returned. 
  • Any exhibitors with apparatus that require empty storage containers to be returned before moving the vehicles must contact The Expo Group PRIOR to the end of the show.

Shipping with The Expo Group

  • The Expo Group will begin returning cartons, plastics cases, wood crates and other material sent to empty storage around 4:00 PM or as soon as the appartus and aisle carpet has have been removed. 
  • The Expo Group anticipates having all empties returned between 4:00 PM - 6:00 PM. 
  • All exhibit material leaving the show floor (from the docks) will require a Material Handling Agreement which can be prepared for you at the Service Center. 
  • After your materials are packed, labeled and ready to go; return the 'completed' Material Handling Agreement to the service center. Do not leave your Material Handling Agreement with your equipment at your booth. If you leave the Material Handling Agreement in your booth with your freight, we will not know that your freight is ready to be loaded out. 
  • You can also submit online to The Expo Group without going to the service center. 

Shipments not through The Expo Group

  • The UPS Business Center 
    • Located on the College Street Concourse. 
    • It will be open Thursday from 9:00 AM - 6:00 PM. 
    • Small hand carried items can also be shipped out from the UPS Business Center. 
  • If you are not using The Expo Group's preferred carriers, you must contact and confirm the pick-up times with your carriers. All material must be packed and ready for out-bound loading and all drivers must be checked in at the dock by 10:00 AM, August 19, 2023. 
  • POV Access - Privately Owned Vehicles (POV’s) cannot access the docks or gates until after the apparatus have left the building. Full instructions and POV Freight Service.
